This Privacy Policy / Integral Privacy Notice explains how Arte Que Rico S.A. de C.V. (“Material,” “we,” “us,” or “our”) collects, uses, stores, shares, and protects personal information when you interact with our website, portals, applications, newsletters, ticketing, events, and related services, including Feria Material, Estación Material, Invited, Itinerary, Listening Material, Proyectos, and future related programming (collectively, the “Services”).

2. Scope
This Privacy Policy applies to:
- material-fair.com and related websites or subdomains;
- the exhibitor portal and application system;
- the Invited portal and guest access systems;
- newsletters and transactional communications;
- ticketing, RSVP, access, and check-in processes;
- applications, surveys, forms, and event/program participation;
- communications by email, WhatsApp, phone, or other channels related to the Services.
Separate or additional notices may apply to specific contracts, events, promotions, or services.
3. Personal information we collect
Depending on how you interact with the Services, we may collect the following categories of personal information:
- Identity and contact information
Name, email address, phone number, city, country, mailing address, organization, job title, preferred language, and related contact details.
- Account and access information
User account details, magic-link authentication records, login status, role/permissions, invitation codes, QR codes, badge/pass details, guest details, timestamps, IP addresses, and access logs.
- Professional and organizational information
Gallery or organization name, public profile, legal name, address, website, social media accounts, year founded, staff roles, represented artists, fair history, prior participation, institutional affiliation, professional interests, and other information relevant to Material’s programs.
- Exhibitor application information
Application forms, exhibition proposals, artist information, artwork details, artwork images, captions, installation references, videos, PDFs, press links, stand preferences, logistical requirements, shipping and installation information, and related application materials.
- Legal, billing, and payment-related information
Billing details, tax data, RFC or tax identification details, fiscal information, invoice/factura requests, payment status, transaction references, Stripe payment references, and related payment metadata. For Legal Representatives of exhibiting galleries, we may collect official identification, signature, name, title, organization, date/time of signature, IP address, and acceptance records for Terms and Conditions. Material does not intentionally collect or store full payment card numbers, CVV codes, or full card authentication data. Card payments are processed by third-party payment providers such as Stripe.
- Invited and event participation information
Invited profile information, RSVP history, event attendance, check-in data, guest names/emails, professional interests, collecting interests, artists or artworks of interest, access preferences, communications, and program participation history.
- Optional sensitive or special-category information
For certain programs, such as Itinerary or specific events, we may ask you to voluntarily provide dietary restrictions, allergies, accessibility needs, mobility needs, or similar information. This information is optional and is used only to support your participation, safety, comfort, or access needs.
- Communications and survey information
Messages, support requests, WhatsApp communications, survey responses, voluntary sales data, feedback, and other communications you send to us.
- Website and technical information
IP address, browser type, device type, operating system, approximate location derived from IP, referring/exit pages, pages viewed, timestamps, cookie identifiers, and similar technical or usage data.
4. Information submitted about other people
You may provide information about other people, including gallery staff, artists, legal representatives, VIP nominees, guests, collectors, curators, institutional representatives, or collaborators. By submitting information about another person, you represent that you have the authority, permission, or other appropriate basis to provide that information to Material for the purposes described in this Privacy Policy and any applicable Terms and Conditions.
If you invite a guest, nominate a VIP, or add a collaborator, Material may contact that person in relation to the relevant invitation, account, event, application, or program, and may provide them with access to this Privacy Policy.
5. Purposes of processing
We use personal information for the following primary purposes:
- Providing and operating the Services
To operate the website, exhibitor portal, Invited portal, RSVP systems, applications, ticketing, user accounts, QR codes, badge/pass systems, check-in processes, and related features. - Applications and selection processes
To receive, process, review, evaluate, and manage exhibitor applications; administer selection committee review; verify applicant identity and authority; manage application status; communicate decisions; and coordinate accepted exhibitors. - Payments, billing, and invoicing
To process application fees, ticket purchases, participation payments, add-ons, extras, invoices, fiscal receipts, payment confirmations, reconciliation, chargeback/error review, and related accounting. - Event and program operations
To manage attendance, guest access, venue access, security, logistics, transportation, hospitality, accessibility, dietary needs, program communications, and on-site operations. - Communications
To send transactional/service messages, application updates, access instructions, QR codes, event reminders, program information, operational notices, and responses to inquiries. With your consent or where legally permitted, we may also send newsletters, announcements, invitations, and marketing communications. - Community and relationship management
To understand and manage relationships with galleries, artists, collectors, curators, institutions, sponsors, partners, press, and other members of the Material community. - Personalization and recommendations
For Invited and future platform features, we may use stated interests, RSVP history, artists/works of interest, and program participation to recommend events, artists, artworks, exhibitors, or opportunities that may be relevant to you. - Analytics and improvement
To understand website and platform usage, improve the Services, troubleshoot issues, analyze engagement, and develop better programming and communications. - Security and compliance
To protect the Services, prevent fraud or abuse, verify identity and authority, maintain records, enforce terms, resolve disputes, respond to legal requests, and comply with legal, tax, accounting, and regulatory obligations.
6. Secondary purposes and marketing
We may use your contact information to send newsletters, invitations, announcements, and other communications about Material and related programs. You may unsubscribe from marketing emails at any time through the link in our emails or by contacting legal@material-fair.com.
Even if you unsubscribe from marketing communications, we may continue to send service or transactional communications related to your account, application, payment, RSVP, attendance, or participation.
7. Legal bases / consent
Where required by applicable law, we rely on your consent for certain processing activities, including optional marketing communications, certain cookies/analytics, processing of optional sensitive information, and certain transfers or disclosures.
We may also process personal information as necessary to perform a contract or pre-contractual relationship, to comply with legal obligations, to protect rights and security, and for legitimate operational purposes consistent with applicable law.
You may withdraw consent where processing is based on consent, subject to legal or contractual limitations.
8. How we share personal information
We do not sell personal information.
We do not share contact data with sponsors or exhibitors without consent, except where limited operational sharing is necessary for a co-hosted event, access control, security, or similar event operation, or where information is aggregated or anonymized.
We may share personal information with:
- Service providers and processors
Vendors who help us operate the Services, including website hosting, application development, cloud/backups, payment processing, ticketing, email delivery, newsletters, analytics, technical support, security, storage, and internal productivity tools.
Current or expected providers may include Bytelab, GoDaddy, Cloudflare, Stripe, Boletia, Mailchimp, Mailgun, Google Workspace/Google Drive, Google Analytics, WordPress, WooCommerce, qTranslateXT, Laravel-related infrastructure, and other providers used to operate the Services.
- Selection committee members and evaluators
External selection committee members and evaluators may receive limited access to application materials necessary to evaluate applications, including gallery history, website/social media, represented artists, exhibition proposals, proposed artists and works, installation references, and preferred stand sizes. They should not receive unnecessary billing, payment, ID, signature, or tax information.
- Venues, event partners, and operational collaborators
Where necessary to operate an event or program, we may share limited information with venues, access-control providers, security teams, hospitality providers, transportation providers, or co-hosts.
- Sponsors, exhibitors, and partners
We may share aggregated or non-identifying statistics with sponsors, exhibitors, or partners. We may also share general institutional attendance information with exhibitors, such as the fact that representatives of certain institutions are expected to attend, without sharing individual contact data unless consent has been obtained or another appropriate basis applies.
- Legal and compliance recipients
We may disclose information where required by law, legal process, tax/accounting obligations, regulatory requests, or to protect the rights, safety, property, and security of Material, our users, participants, or others.
- Business transfers
If Material undergoes a corporate reorganization, merger, asset transfer, financing, or similar transaction, personal information may be transferred subject to appropriate safeguards.
9. International transfers
Material is based in Mexico, but some service providers may process personal information in other countries, including the United States and other jurisdictions. Where personal information is transferred internationally, we take steps intended to ensure appropriate protection, including contractual obligations, vendor diligence, and security controls.
10. Cookies and similar technologies
We use cookies and similar technologies to operate the website and portals, support language preferences, maintain sessions, enable security, support cart/payment-related functions where applicable, and understand website usage.
We do not use advertising pixels or remarketing technologies unless this Privacy Policy and our cookie notices are updated accordingly.
We plan to use Google Analytics only with an appropriate consent mechanism where required. You can manage cookies through our cookie banner/preferences tool once implemented and through your browser settings.

11. Data retention
We retain personal information only as long as necessary for the purposes described in this Privacy Policy, including event operations, application administration, legal, tax, accounting, archival, relationship-management, dispute-resolution, and security purposes.
Retention periods vary depending on the type of information and context. For example:
- Rejected or withdrawn applications may be retained for a limited period for benchmarking, dispute prevention, and future relationship management;
- Accepted exhibitor records may be retained longer for contracts, accounting, archives, and legal obligations;
- Payment and invoice records are retained as required for tax/accounting purposes;
- Optional dietary, allergy, accessibility, or mobility information is retained only as long as necessary for the relevant event or program, unless you ask us to remember it for future programs;
- Unsubscribe/suppression records may be retained to respect opt-out choices.
When information is no longer needed, we take steps to delete, anonymize, or securely archive it as appropriate.
12. Security
We use reasonable administrative, technical, and physical safeguards intended to protect personal information against damage, loss, alteration, destruction, unauthorized access, disclosure, or processing. These safeguards may include access controls, private file storage, role-based permissions, HTTPS, backup procedures, technical monitoring, staff confidentiality practices, and vendor security controls.
No system is completely secure. If we become aware of a security incident that materially affects your rights, we will take appropriate steps in accordance with applicable law.
13. Your rights
Depending on applicable law and your location, you may have the right to request access to your personal information, correction, deletion/cancellation, objection to processing, restriction of processing, portability, withdrawal of consent, or information about transfers and processing.
In Mexico, these rights include ARCO rights: Access, Rectification, Cancellation, and Opposition.

- Any information needed to verify your identity or authority.
We will respond in accordance with applicable law. We may decline or limit a request where legally permitted, including where retention is required for legal, contractual, accounting, security, or dispute-resolution purposes.
14. Children and minors
The Services are not directed to children. We do not knowingly collect personal information from children without appropriate authorization. If you believe a child has provided personal information to us, contact legal@material-fair.com.
15. Photography and recording at events
Material events may be photographed, filmed, livestreamed, or otherwise recorded for documentation, editorial, press, archival, promotional, and communication purposes. By attending an event, you acknowledge that you may appear incidentally in such materials. Where appropriate, we provide notice at registration, in event communications, or at the venue.

16. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. The “Last updated” date indicates the latest revision. Material may notify users of material changes through the website, portals, email, or other appropriate means.
